Time is running out to ensure your data is secure

THE clock is ticking. To avoid heavy fines and offer customers ultimate peace of mind, it’s time to secure your business data.

Data flows through every business in this digital age, and on Friday May 25, organisations across the world will have to comply with new rules governing the capture, storage and processing of personal information.

The potential fines are business killers – up to 20m Euros or four per cent of annual turnover – and the challenge may look insurmountable but there are a number of ways that ACS can assist;

ACS can update and help you implement key internal policies whether these are standalone or form part of your staff handbook:

* Data Protection Policy to address how you handle data generally

* Data Classification and Security Policy to address how you classify data and what standards you adopt in relations to them

* Data Retention (Archiving) and Destruction Policy to identify how long to hold data

* Data Breach Policy to identify what you should do if there is a breach

* IT Usage Policy for acceptable use of IT and passwords etc.

Review and adjust your customer and supplier contracts to address data protection more generally. Or in particular we can update your contracts with your cleaners, archive providers, confidential waste disposal, IT and backup providers.

Advise on which locations you can store your data and to make sure any data transfers are compliant.

Adjust your data collection wording.

Advise on confidentiality agreements.

ACS can also run a GDPR workshop for your staff to inform and educate across your organisation the changes to your obligations.

You need to examine how your organisation handles data. Do you have the appropriate security? Do you have too much data? Is it out of date? Do you have the appropriate consents for processing the data? Where do you keep it? Do you transfer it? Who has access to it?

Jon Thorpe, Managing Director of ACS, said: “At ACS; data, security and helping businesses do more with new ways of working is one of our highest priorities. Every organisation, whether small or large, needs to protect their data and themselves from the crippling commercial consequences should a breach occur whilst they are not yet GDPR compliant.”

There isn’t a one-size fits all package but ACS are happy to have an initial conversation free of charge to discuss your unique needs and will prepare a scope of work and budget for you before you spend a penny.
